PPG Meeting Minutes 30th September 2025

Changes to the Team

Dr Beatrix-Lovell Viggers – starting her maternity leave October 2025

Dr Sophia Khan – covering BLV’s maternity cover on Tuesday’s and Fridays

Claudia Treacy – joined the team as a clinical pharmacist – she works Monday to Friday

Yashwi Gupta – CBT therapist – leaving the team

As part of our MDT team, we have attached outreach teams that also see patients at the Health Centre.

Mental Health Services

We have an extensive mental health team, offering short –term CBT, psychodynamic, IDBT CAT therapists and psychiatrist assessments, usually 6 sessions and 8 session for IDBT and CAT.

We have also secured via IAPT a mandarin speaking psychologist for our patients, that is able to triaged / pathway patients onto mental further mental health services.

Workshops

We continue also provide an extensive list of workshops, during term-time delivered by Dr David Leigh-Smith

Vaccination Campaigns

  • We continue to run annual seasonal flu campaigns for all eligible patients and arranged for housebound patients to receive their Covid and seasonal influenza vaccinations.
  • To offer the new RSV vaccination, Shingles and Pneumococcal to eligible patients
  • Offer MMR and Meningitis and ACWY vaccines to all students

Board Members

Dr Chris Allen and our Business Partner/Partner continue to sit on the PCN board.

College Liaison Meetings

Dr Sarah Freedman – Lead Imperial College liaison doctor – has a bi-weekly meeting with Imperial College welfare team, she also chairs the term time welfare meeting for the Royal College of Art.

Dr Beatrix Lovell-Viggers attends college SWAG meetings and accommodation meetings.

Dr Chris Allen meets termly with the welfare team from the Royal College of Music.

Dr Shikha Sashittal sits on the exploration board at for Imperial College.

Dr Bradley Roberts meets with Imperial Counselling service once a month

Fairs and College fresher attendance

We continue to have information stalls for new students at freshers’ fairs and Dr Mark Daniels presents a Meningitis awareness talk at the start of term to all the wardens.

GP Trainees

Dr Mark Daniels continues as a GP registrar trainer and Dr Lovell-Viggers is also completed her training and has been allocated her first GP trainee.

Telephone System

We have introduced a new telephone system that features a call back service. The average response time for call handling pick-up is currently 1 minute and 7 seconds and the average NHS call handing is 10 minutes.

Website

We recently had an update of our website, and we hope that is more user friendly and is useful for patients to navigate.

Feedback – FFT / Google Review / Surveys

We regularly review all feedback with the team at the staff meeting and are introducing a whiteboard of suggestions from patients on improvements they would like to see and how we have responded. We regularly receive excellent feedback on our month FFT and we are working hard to improve our Google reviews

We meet regularly as a team, which include

  • Partners Meetings
  • Cancer C-the signs meeting

Mandatory Training

All our team must complete annual BLS training and NWL mandatory training, the team have annual appraisals and the GP’s have an external appraisal meeting.

Safety Improvements

  • Introduced a system to link all children registered to their households
  • Added additional confidential checks for 3rd parties calling on behalf of patients e.g. now nominated persons have a password before we release any information.
  • All administration calls are now recorded for training and improvements.
  • Our clinical pharmacist reviews medications and offers regular medication consultations for patients. 

Infection Control

We have a monthly audit, checking stock and all clinical rooms. We have had no breaches of infection control issues were reported.

The clinical team have mandatory annual training on the following:

  • Handwashing
  • Single use of instruments
  • Emergency kit and how to use the AED.

Pathways / Triage

All our Patient Coordinators and the team have received training, when patients contact us for medical enquiries, they may be re-directed to the following multi-disciplined team members:

  • First Contact physio – based at the Health Centre 2 days a week.
  • Pharmacy First
  • Clinical Pharmacist – medication queries / reviews
  • Mental health Practitioners
  • Nursing Team
  • Travel clinic appointments
  • Duty doctors – on- call doctor 8.30am – 6.30pm
  • E-consultation
  • Hub/ extended service partners ANP/ doctors – evening and weekends
  • Walk-in minor injury services

Nursing HCA Team

Our nursing team see patients for the following:

  • Wound care
  • Minor illness
  • Cervical cytology
  • Travel clinic assessments
  • Baby Immunisations
  • Chronic disease management

HCA’s see patients for the following:

  • Phlebotomy
  • NHS Health Checks
  • Measurements –including BP checks
  • Ear irrigation
  • Some immunisations e.g. flu
  • Simple wound care

Other Business

Bridging prescriptions for patients – we are unable to issue hormone replacement medication for patients that have not attended a gender dysphoria clinic and had an assessment and has been titrated and stabilised on medication.

Deductions /list cleaning – PCSE have changed the criteria for the removal of patients that have had mail returned to them via the dead letter office as moved away – they will now deduct from our NHS list after 3 months and no 6 months
